Engagement 3: Intranet Deployment

For organizations continuing our four-phase strategy, we present an exceptional collaborative proposition for the build phase. In this stage, we employ the project specifications, inclusive of detailed blueprints and wireframes that we meticulously developed during the second engagement, to bring your new Intranet to life.

The blueprint not only accelerates the entire assembly process, but it also eliminates surprises. The clarity provided by the project specification streamlines the build-out, nullifying the need for additional meetings to discuss implementation details. Everyone involved in the project already has a comprehensive understanding of what needs to be built, what it will do and what it will look like. This ensures a smooth, fast, and efficient deployment.

Within a concise span of just ten days, we conduct seven 2-hour online working sessions with your Steering Committee. This is in addition to an extra ten hours of independent work by our team, resulting in a robust and customized business Intranet for your organization.

Our approach is founded on years of experience and has proven to be highly effective. We optimize the entire process from start to finish, guaranteeing not only a swift delivery but also a superior quality of output. Here's how we bring this proactive, optimistic, and time-efficient plan into action:



Home page creation from wire frame

Create the Top Site (Portal 'Home') and Establish it as the Hub: Begin by constructing the top site and homepage for the new Microsoft 365 based intranet using the detailed wireframe from the specification. Implement the organization's branding, and make the site a SharePoint 'hub site'. This will serve as the central node for all department sites to be connected later.


Branded department site

Develop the Branded Departmental Structure: Based on the Departmental Site Wireframes, create a branded template for each Department site Collection. This includes a private site for department members, a companion 'all employees' site for organizational information dissemination, and a connected Microsoft Team to bolster department communications.


Replicating department sites

Replicate the Branded Structure Across Departments: For each department identified in the Intranet Blueprint, create a new Microsoft 365 Group, a SharePoint private site, a companion 'all employees' site, and a connected Microsoft Team. Utilize ShareGate to apply the department template onto these newly created departmental site collections. Connect these sites to the hub site to inherit branding automatically.


Initial content for department sites

Enrich Department Sites with Initial Content: During a dedicated working session with the Steering Committee, curate initial news items, announcements, and calendar events to populate each department site. This enhances the sites' relevance from day one.


Migrate key documents sample

Migrate Key Documents: Allocate time to transfer crucial documents, forms, and content from their current location to the new Intranet. This guarantees that essential resources are readily accessible upon launch.


Sample homepage contact

Seed the Homepage with Relevant Content: Place initial news, important hyperlinks, and perhaps a statement from a senior manager onto the intranet's homepage. Arrange two pages of logically grouped, categorized hyperlinks to streamline access to commonly used resources and processes.


Training site

Configure and Populate the 'Training and Support' Site: Implement an additional department site as per the training and support specification from the previous engagement. The site will contain a training curriculum and a help desk ticketing system, providing employees with step-by-step instructions and user training.


By the end of Engagement #3,

your organization's new intranet will be fully operational, with each department equipped with its custom digital environment. Comprehensive training and support will be available through the support site, ensuring competency and adoption by the employees. Each department will be equipped with libraries for sharing information with all employees as well as private sites and libraries for confidential document collaboration and development.

Your freshly constructed intranet, complete with department-specific sites and key documents, is now primed and ready to accommodate both the creation of new documents and the seamless importation of important legacy files from shared drives or previous Microsoft 365 document storage.

Special note: All of the training sessions and working sessions take place in Microsoft Teams and these meetings are recorded with video, audio and a written transcript. These videos are added to the Internet’s “SharePoint training and support” site (part of the overall Internet site collection). This is true for each of the four engagements that represents a significant retained asset for the organization and dramatically facilitates future maintenance and growth of the Internet.
